How it works FAQs
After the various NDA and data sharing agreements have been signed…
1. We give you a list of our typical negative and complaint type words we track, for you to have a look through and add / remove as you see fit
2. While you are going through your list, we setup your system and give your IT a URL code to plug onto your Outlook Exchange servers
3. Your IT setup our software permission and security and give us the resulting codes
4. You tell us any changes to the keywords to track
5. You give us the email addresses of your staff you want to track
6. You tell us who should receive any alerts if the software spots an offending email
7. We send you a few test complaint emails so you can see what your alert looks like
8. You carry on with what you do best, and wait for an alert to pop into your inbox
9. You can change the keywords to track as often as you want
10. We send you a test complaint email each month so you know it’s working

Thank goodness it’s not all just bad news! Yes, you can use it to track happier words too.
If your marketing department wants to capture great news stories, where clients were super pleased… for testimonials and case studies for your PR or website for instance, this is all possible. It’s all the same principle.
All you do is buy another alert and set it up with different keywords and who any alerts are delivered to, as you prefer. We’ll give you a discount on this second alert.

We have a slightly different alert that does this. Our X-Selling Alert can be setup for each team, to spot opportunities for their team, and give hints on ideas on how to capitalise on the lead.
Let’s take for example, solicitors and law firms.
We all know lawyers are near 100% focused on client delivery. Which means they may not introduce colleagues to the client. It could be for a number of reasons. Reasons like; “I forget to” or “I don’t think to do it” or “I think that sort of thing might be too intrusive for my client” or “I’m not doing that, they only want my service” or even “No chance, I’m not sharing my relationships”.
So, this is how it works. Let’s take the above as your lawyer’s mindset, but your Tax team want to look for opportunities from existing clients, as an example.

We’re thinking about this, but not yet. Your HR team could set up the Sentiment Alert to look for job hunting keywords, but we can’t track if emails go to/from certain certain domains with this feature. But who would use their work email to speak to recruitment agents? We’ll look at this if the feedback suggests this wold make the running of your firm easier.

Data Security FAQ's
We don’t store your data, but your emails have to pass by the Promptr Sentiment Alert which is held on the cloud. It is a Software as a Service (SaaS). It is held on Microsoft Azure Encrypted servers – just like your Office 365 servers. These are held on UK servers for UK clients. Your settings are stored on our Microsoft Azure servers too.
Not yet, but we’re looking at this. We’d love to hear your view on this because you’d no doubt sleep better if your emails didn’t ever leave your servers.
We have to see your email data, but we don’t store or keep a copy of your email data, so no backup is needed. We backup your settings, like the keywords and email address to track.
The employees and sub-contractors (for IT developments) of Promptr Limited and Database First Aid Limited (the service business supporting Promptr) have access to your settings, your staff email addresses and any information you give us, BUT NOT your email content.
No. The software has to see your emails to check for your keywords, but your emails just pass through it. No human in the Promptr support team has sight of the content of your emails. With this in mind, we will ask you if you want us to be blind copied onto any alert emails when they are triggered – so we can help fine-tune your system. But this is your choice.
You give us the email addresses to track. You give it by whichever secure route you prefer. Not got one? We use WeTransfer. Please never send us any data by email.
If you decide our service isn’t for you, we’ll simply turn your instance of the software off, delete the email addresses you gave us to track and your settings.

Technical FAQs
After you’re happy with all the paperwork, it’ll be about a week to set you up and have our first test email arrive.
We want you to spend time doing what you do best, not worrying about more things. To put you at ease, we’ll send you a test complaint each month, so you receive an alert and know it’s working.
No, you can be using any CRM, or nothing at all. The Sentiment Alert works as a standalone service – you just need Microsoft Outlook.
You can sign ours, and we’ll sign yours. Ours is part of our agreement / contract.
You remain in control. Our IT will give your IT a URL code to add into your Microsoft Exchange. Your IT install it, and then give it the right permissions, then your IT team give the resulting security code to out IT.
It works on all versions of Outlook sold since 2008. Office 365 included.
None at the moment. But we’re always open to feedback if law firms start using Google mail for instance, we’re not seeing that yet.
There is no annual tie-in period. Don’t want it any longer? Give us a month’s notice, then just stop paying and turn off our permissions that allow the Sentiment Alert to see your Outlook emails.
