System Setup and Integration

We handle the setup for you. Our team provides your IT department with a code to easily install on your Microsoft Outlook Exchange servers, enabling us to track external and internal email activity.

Define External Domains to Track

You specify the external email domains of your introducers or referral sources that you want to track. This ensures we capture every communication with these key partners.

Specify Internal Contacts

Next, you define the internal fee earners or teams whose interactions with these external domains should be tracked. This keeps you informed about all relevant activities within your firm.

Continue Business as Usual

Once everything is set up, you can carry on with your day-to-day work. Referral Network Alert operates seamlessly in the background, tracking key communications.

Pricing & License FAQ's

Is this part of Promptr CRM? Can we buy it on it’s own?

No CRM database needed. You can be happily running your events and mailshot from a spreadsheet. Or you can have one of the great big CRM databases.

Of course, if you use Promptr CRM software, it integrates. But you don’t have to be.

If we buy two alerts or more (for 2+ teams) do we get a discount?

Yes, that sounds fair to us too. We’ll knock 10% off the setup fee on your 2nd alert, 20% off your third, 30% off your fourth, 40% of your fifth, and 50% off six or more. We reserve the right to terminate this offer without warning.

If we refer Promptr’s Referral Network Alert to our connections, can we have a discount?

Again, yes, that sounds very fair. We’ll knock 10% off your monthly cost per successful new client that you refer to us. Up to 50%. So if you refer one client, we’ll give you a 10% discount while you and they are clients. If you refer 5 or more, that’s a 50% discount off your monthly bill.

Does each team need an alert?

Buy an alert for each team that needs it. For instance, your tax, employment and pensions teams might each need an alert, but your litigation and commercial teams don’t – so buy 3 alerts.

Who do we need to buy licenses for?

For each alert, buy licenses for everyone in your firm you want to track.

So for example, you have a 150 person firm, 100 of them are lawyers, and you have 10 people in your tax team. You need to track 90 people, so this puts you in the lowest price band.

What if we have a few too many people and go into another price band?

Don’t worry if you go over a band by a few people. We’re humans and have emotions too. We’d rather put a smile on your face as you go back to work, not a frown.

How long is the tie-in period / contract?

We don’t like it when we have to sign 12/24/36 month tie-in periods, so we’re not doing that to you either. You pay us on the 1st of each month (Standing Order will no doubt be easier) for that month.

Data Security FAQ's

Where is the data stored?

We don’t store your data, but your emails have to pass by the Promptr Referral Network Alert which is held on the cloud. It is a Software as a Service (SaaS). It is held on Microsoft Azure Encrypted servers – just like your Office 365 servers. These are held on UK servers for UK clients. Your settings are stored on our Microsoft Azure servers too.

Can we install it on our own servers, so no emails leave our environment?

Not yet, but we’re looking at this. We’d love to hear your view on this because you’d no doubt sleep better if your emails didn’t ever leave your servers.

Is our data backed up?

We have to see your email data, but we don’t store or keep a copy of your email data, so no backup is needed. We backup your settings, like the keywords and email address to track.

Who has access to your data?

The employees and sub-contractors (for IT developments) of Promptr Limited and Database First Aid Limited (the service business supporting Promptr) have access to your settings, your staff email addresses and any information you give us, BUT NOT your email content.

Do the Promptr team see our emails?

No. The software has to see your emails to check for your keywords, but your emails just pass through it. No human in the Promptr support team has sight of the content of your emails. With this in mind, we will ask you if you want us to be blind copied onto any alert emails when they are triggered – so we can help fine-tune your system. But this is your choice.

How do we get our email address data to you securely?

You give us the email addresses to track. You give it by whichever secure route you prefer. Not got one? We use WeTransfer. Please never send us any data by email.

What happens when we are no longer a client?

If you decide our service isn’t for you, we’ll simply turn your instance of the software off, delete the email addresses you gave us to track and your settings.

How quickly can the Referral Network Alert be setup?

After you’re happy with all the paperwork, it’ll be about a week to set you up and have our first test email arrive.

How much effort is the Referral Network Alert for us?

Spend time doing what you do best. You just sit back and wait for an email. So very close to zero effort.

How will we know if the Referral Network Alert is working?

We want you to spend time doing what you do best, not worrying about more things. To put you at ease, we’ll send you a test email each month, so you receive an alert and know it’s working.

Do we need to use the Promptr CRM system?

No, you can be using any CRM, or nothing at all. Our Referral Network Alert works as a standalone service – you just need Microsoft Outlook.

What do we do about Data Sharing Agreements and Non Disclosure Agreements (NDAs)?

You can sign ours, and we’ll sign yours. Ours is part of our agreement / contract.

How is the Referral Network Alert installed?

You remain in control. Our IT will give your IT a URL code to add into your Microsoft Exchange. Your IT install it, and then give it the right permissions, then your IT team give the resulting security code to our IT.

What versions of Outlook does it work on?

It works on all versions of Outlook sold since 2008. Office 365 included.

What other email software does it work on?

None at the moment. But we’re always open to feedback if firms start using Google mail for instance.

What if we want to stop using it?

There is no annual tie-in period. Don’t want it any longer? Give us a month’s notice, then just stop paying and turn off our permissions that allow the Referral Network Alert to see your Outlook emails.
